Information on the hospitality services of the 2021 ICF SUP World Championships

The Balaton region is one of the most popular tourist destinations in Europe and was acknowledged as an ‘International City of Grape and Wine’. Please, consider that summer is the peak period of tourism in Hungary and hotel rooms are in high demand already now.

On the following pages we would like to share important information on the official hotel of the World Championships along with some basic information on catering, transportation and bookings. Please don’t hesitate to contact the HOC in case any question would come up.

Official hotel of the World Championships

The HOC has selected the Danubius Hotel Annabella★★★ as the official hotel of the World Championships. The selection criteria apart from the quality was distance between the hotel and the venue, which is no more than 100 meters.

From 1st July, you can book your accommodation via the online system (HMS — Hospitality Management System) of the Organising Committee.

Reservation process

  1. please, send an email to booking@balaton2021.com and let us know that you would like to make a reservation
  2. please, click on the activation link you get from the HMS system and set a password for yourself
  3. complete your hotel reservation and airport transfer request in the online system
  4. wait for the confirmation and the payment link sent by the OC
  5. please, make the payment and save / print the hotel voucher sent by the OC

18th August, 2021

Please, note that hotel reservation is subject to availability and will be allocated on a first-come, first-served basis, so early booking is highly recommended. The online reservation system will be closed after the deadline indicated above.

Please, also consider that the Organising Committee can guarantee the implementation of a strict Covid-19 Protocol in the catering and common areas in the official hotel of the World Championships exclusively. The HOC cannot be held responsible for the hygiene, internal protocols, quality and price of individually reserved accommodation.

The HOC does not take responsibility for any extra service of the hotel, like minibar, telephone, etc, these costs are to be paid directly to the hotel. In case you would cause any damage to the room you are to pay for it on spot or else the Organising Committee will send you the invoice for the cost of the damage afterwards.

Category 2 (Danubius Hotel Annabella★★★ / Standard rooms)

Our accommodation packages include parking for one car / room on spot and half-board with dinner. Please, note that lunch can be added to your reservation via the online accreditation system.

Check-in is available from 15:00. The rooms are to be vacated until 11:00 in the morning on the day of departure. (Upon request the hotel will provide storage rooms for an additional fee.)

Amendments to your booking after your reservation was invoiced

If you would like to modify your reservation or add additional nights or additional rooms to your reservation you may do so by indicating these changes in the HMS. Please, note that email modification requests are not accepted and won’t be considered.

Additional costs are required to settle within 8 days.

Modifications and cancellation policy

Should you cancel or modify your booking, a charge will be made equivalent to any loss suffered by the HOC, as itemized below.

The amount of any cancellation fee will be calculated as a percent of the total reservation fee according to the following period of notice given:

Terms of payment

Hotel reservation deadline is 18th August 2021. Once the HOC confirms your booking, the total amount will be invoiced with 8 days payment terms. Kindly note that the booking will be provisional until you process with the payment (guests are required to settle their bills with a credit/debit card by clicking on the payment link that will be sent by the HOC), hence the HOC reserves the right to alter or cancel the reservation until that time. After funds have been cleared in our bank account it shall be a confirmed reservation.

Besides cash (only Euro is accepted) we accept Visa and MasterCard credit/debit cards.

Airport transfer

Booking of airport transfers — exclusively from the Budapest Liszt Ferenc International Airport - will be available in the Hospitality Management System (HMS) from 1st August until 1st September.

Those who have booked their accommodation independently from the HOC still can reserve their airport transfer in case their hotel is located in Balatonfüred, Csopak or Tihany.

Low-cost transfer

Transportation of SUP boards in groupage freight

This service can be added to your regular and low-cost transfer for 15EUR/hard board/one-way trip or 10EUR/inflatable board/one-way trip. Please, note that your SUP board may be shipped with another vehicle and can be collected in Balatonfüred at the end of the day.

With booking any services through the HOC of the 2021 ICF SUP World Championships, you declare that you have read and understood the terms and conditions and agree to accept them.

Please remember that no booking or modification request can be considered as confirmed until you get a notification on it from the OC.

Visa

All participants are kindly requested to contact the Hungarian Embassy or consulate in their respective countries (or the closest to you) in time regarding visa requirements. The difficulty of obtaining visa to Hungary varies by regions but you should calculate with a 45-day long issuing period to ensure the safe attainment of the visa.

The typical steps of obtaining visa are as follows:

  1. Booking accommodation via the HOC or sending the confirmation of your hotel booking to the HOC (if booked individually) - please note, the HOC cannot take responsibility for rejection of visa issuance
  2. Sending the filled-in visa application form (can be downloaded from this website) to the HOC (booking@balaton2021.com)
  3. Contacting the Hungarian Embassy / Consulate serving in your country / territory and do the paperwork they request from you
  4. the HOC issues the Letter of Invitation
  5. Visa issuance

Please note that the HOC will not send you an invitation letter without knowing your arrival/departure dates and the name of the hotel where you will be accommodated. The Ministry of Foreign Affairs asks the same information from us, so we cannot stand up for you without you standing up for yourself by providing this information.
